1. Who we are
This website and the services described in this policy are operated by Vellora Group Ent. ("Vellora Group", "we", "us"), a business registered in the Trade and Personal Property Rights Register (RCCM) of the Court of First Instance, Bamenda, Cameroon, under No. RC.BDA.2026A.000554, with its address at Mile 5 Akum, Bamenda, North West Region, Cameroon.
For personal data we collect for our own purposes — for example when you contact us or become a customer — we are the data controller. When a business uses OLa, or a school uses Eduonpoint, we process the personal data of their customers, pupils, parents and staff on their behalf and on their instructions; that business or school is the controller and we act as its processor.
2. What this policy covers
This policy applies to:
- our website, velloragroup.tech;
- OLa, our AI assistant that answers customers on WhatsApp on behalf of businesses;
- Eduonpoint, our school management platform;
- custom software, automation and AI projects we deliver for clients, unless a separate agreement applies.
3. Information we collect
When you contact us
If you message us on WhatsApp, email us, call us or use the contact form, we receive the details you choose to share: typically your name, organization, phone or WhatsApp number, email address and the content of your message. The contact form on this website does not store anything; it opens WhatsApp or your email app with your message ready to send.
When you visit our website
Our website does not use advertising or analytics cookies and does not track you across other sites. Like every website, our hosting provider automatically records technical information in server logs — such as IP address, browser type, pages requested and the date and time — which is used to keep the site secure and working.
Business customers of OLa and Eduonpoint
When an organization becomes our customer we collect the contact details of its representatives, billing and contract information, and the information it provides to configure the service (for example services, prices, opening hours and frequently asked questions for OLa, or school structure for Eduonpoint).
People who message a business that uses OLa
When you send a WhatsApp message to a business that uses OLa, we process on that business's behalf:
- your WhatsApp phone number and WhatsApp profile name;
- the content of the messages you exchange with the business, including any media you choose to send;
- message metadata such as timestamps and delivery and read status;
- details you give to complete a request — for example your name and the date, time and service of an appointment or order;
- your messaging preferences, such as whether you agreed to receive reminders or asked to stop receiving them.
Schools using Eduonpoint
On behalf of a school we process the records the school enters: information about pupils (identity, class, attendance, results, report cards, fees and payments), parents or guardians (contact details and relationship to the pupil) and staff (identity, role, subjects and timetable). We use this information only to provide Eduonpoint to that school.
4. Data from WhatsApp and Meta
OLa connects to WhatsApp through the WhatsApp Business Platform provided by Meta Platforms, Inc. and its affiliates ("Meta"). When a business connects its WhatsApp Business account to OLa, we receive from Meta the information needed to operate the service: the WhatsApp Business Account ID, phone number ID, business display name, the messages sent to and from that business number, and message status updates.
- We use this information only to provide OLa to that business and to its customers.
- We do not sell it, use it for advertising, or use it to build profiles of people across businesses.
- We do not share one business's customer data with another business, or with any third party except the service providers listed in this policy.
- Meta processes WhatsApp messages under its own terms and policies, including the WhatsApp Business Messaging Policy.
Businesses using OLa must obtain any consent required to message their customers, honour opt-out requests and comply with WhatsApp's policies. OLa only sends reminders or updates to people who agreed to receive them.
5. Data from Google services
Some features may let a business connect a Google account — for example Google Calendar, so OLa can check availability and add confirmed appointments. Connecting a Google account is always optional and is done by the business itself through Google's own consent screen.
- We request only the permissions needed for the feature the business enables, and use the data only to provide that feature to that business.
- We do not use Google user data for advertising, do not sell it, and do not use it to develop or train generalized AI or machine-learning models.
- People do not read Google user data unless the business asks us to for support, it is needed for security or it is required by law.
- Vellora Group's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
- A business can disconnect its Google account at any time from its Google Account settings or by contacting us. We then delete the Google data we stored for it.
6. How we use information
| Purpose | Legal basis |
|---|---|
| Replying to your enquiries and preparing quotes | Your request; our legitimate interest in responding |
| Providing, configuring and supporting OLa, Eduonpoint and custom services | Performance of our contract with the customer |
| Answering customers and managing bookings on a business's behalf (OLa) | The business's instructions, as its processor |
| Sending appointment reminders and updates | Consent of the recipient, which can be withdrawn at any time |
| Keeping our services secure and preventing abuse | Legitimate interest; legal obligation |
| Invoicing, accounting and meeting legal obligations | Legal obligation |
We do not use personal data for advertising and we never sell it.
7. How OLa uses AI
OLa uses AI language models to understand customer messages and draft replies based on the information the business has provided. To do this, the content of a conversation is processed by AI service providers acting on our instructions.
- We only use AI providers whose terms do not permit them to use this data to train their own models.
- OLa presents itself as an automated assistant, and customers can ask to speak with a person at any time.
- OLa does not make decisions that have legal or similarly significant effects on people.
- AI replies can contain mistakes; businesses review the information OLa relies on and can correct it at any time.
8. How we share information
We share personal data only where needed, with:
- the business or school you are dealing with — for example, a business can see the conversations its customers have with OLa;
- Meta, which delivers WhatsApp messages through the WhatsApp Business Platform;
- service providers that host our systems, provide AI processing, or deliver email — each bound by confidentiality and data-protection obligations and allowed to use the data only to serve us;
- authorities, when we are legally required to, or to protect the rights, safety and security of people and our services;
- a successor, if our business is reorganized or transferred, under the same protections described here.
9. International transfers
Some of our service providers, including Meta, may process data outside Cameroon. When that happens we rely on providers that offer appropriate safeguards and contractual commitments to protect personal data.
10. How long we keep data
| Data | How long we keep it |
|---|---|
| Enquiries sent to us | Up to 24 months after our last exchange, unless you become a customer |
| OLa conversations and booking details | While the business uses OLa, or less if the business sets a shorter period; deleted within 90 days after the business ends its subscription |
| Eduonpoint school records | As instructed by the school; returned or deleted within 90 days after the school's contract ends |
| Server and security logs | Usually no more than 90 days |
| Invoices and accounting records | As long as accounting and tax law requires |
You can ask for deletion earlier at any time — see our data deletion instructions.
11. Security
We protect personal data with encrypted connections (HTTPS/TLS), access limited to authorized people who need it, separate data for each customer, secure handling of access keys and regular updates. No system can be guaranteed 100% secure; if a breach affects your personal data we will inform the affected customers and, where required, the competent authorities without undue delay.
12. Your rights
Subject to applicable law, you have the right to:
- know whether we process your personal data and receive a copy of it;
- have inaccurate data corrected;
- have your data deleted;
- object to or ask us to restrict certain processing;
- withdraw your consent at any time, for example to reminders (reply STOP or tell the business);
- receive data you provided in a portable format;
- lodge a complaint with the competent data-protection authority in Cameroon.
To exercise these rights, email contact@velloragroup.tech or send a WhatsApp message to +237 650 29 24 89. We may ask you to confirm your identity and will respond within 30 days. If your data is processed on behalf of a business or school, we will forward your request to them and help them answer it.
13. Children
Our website and OLa are not directed at children. Eduonpoint processes information about pupils only on behalf of, and on the instructions of, their school, which is responsible for informing parents and guardians and for having a lawful basis for that processing.
14. Cookies
Our website uses only what is technically necessary for it to work. We do not use advertising, analytics or social-media tracking cookies. If this changes, we will update this policy and ask for consent where required.
15. Changes to this policy
We may update this policy as our services or the law change. The "Last updated" date at the top shows when it was last revised. For significant changes we will notify our customers directly.
